Receptionist

POSITION:            Receptionist, Women’s Harm Reduction Program

REPORTS TO:      WHRP Clinical Director

CLASSIFICATION: Full-Time, Non-Exempt

SALARY RANGE:  $18.00 - $21.00 per hour


POSITION PURPOSE:  To provide excellent customer service to WHRP participants and guests, and to provide general program support, including some data entry, meal coordination and special client activities. This position is essential to providing a safe, welcoming, and supportive experience for clients to engage in the healing services of WHRP.

RESPONSIBILITIES:

Agency Access:

  • Admits and welcomes clients and visitors to the agency
  • Ensures that clients and visitors sign-in upon arrival and departure
  • Conducts COVID-19 screening (when applicable) and inform and support guests to abide current COVID-19 policies

Customer Service to Staff and Clients:

  • Greets participants and visitors and ascertains name and other pertinent information.
  • Assists participants by directing them to the appropriate staff member to address their needs.
  • Notifies appropriate staff/intern of visitor’s arrival. Asks visitors to wait in the lobby until they can be helped by the appropriate person.
  • Accepts and signs for packages addressed to the Benedict Center. Delivers package(s) to addressee or notifies addressee of package arrival.
  • Notifies Executive Assistant when mail is delivered.
  • Performs a variety of routine clerical tasks (may include processing of incoming and outgoing mail, arranging for package pickup and delivery, photocopying and collating, maintaining flyers, tidying agency areas to ensure office is clean and organized, sorting, and organizing donations, etc.) as time permits.
  • Assures that reception area is clean and orderly and supplies and forms are refilled.
  • Maintains and ensures coffee/refreshments are available based on need, ensures supplies are stocked.
  • Manages walk-in requests for community resources.
  • Provides bus tickets to clients per current Bus Ticket Policy.
  • Oversee the cell phone program for participants which includes distributing the phones, answering questions, cancelling service when appropriate, and maintaining service for the person. Collaborating with Director of Finance regarding ordering of new supplies and service for the phones.

Phone/ Text/ Fax Communications:

  • Answers incoming calls. Determines if a caller can be helped by receptionist or needs to be routed to another person. Route calls for employees as appropriate.
  • Performs brief screens for eligibility and directs calls to intake staff.
  • Accurately takes and delivers messages; retrieves and routes voicemail messages.
  • Communicates messages to clients via group text or individual phone calls as directed

Support Data Entry, Reports and Quality Assurance:

  • Supports attendance tracking
  • Enters new participant demographic information into database as needed
  • Coordinate meals:
  • Coordinates inventory, as needed meal planning, food/ supply ordering as needed
  • Ensures food safety protocols for food storage, serving and cleaning are up to date and enforced
  • Coordinates and assists in food preparation and serving

TERMS:

  • Role requires walking through facility
  • Must be able to lift up-to 20lbs
